Job Description

Main Responsibilities


Reporting to the Chief Operations Officer, the key results areas for the Executive Secretary include;


  • Taking a proactive approach to diary management, co-ordinating and prioritising meetings, according to importance.
  • Receiving and screening all internal and external calls in a professional and efficient manner.
  • Managing inbox and producing emails and formal correspondence on behalf of the COO.
  • Managing the Management Committee Meeting agenda, minute taking, collation and production of any reports.
  • Booking & Coordination of all Travel Arrangements to budget.
  • Project managing any office related activities i.e. corporate events, away days, team cohesion events e.t.c.
  • Providing administrative and organisational support to the Senior Management Team where necessary.
  • General Office administration including organising and maintaining office systems, taking notes at meetings and filing.  
  • Looking after contractors, consultants, customers and other visitors.
  • Project work, like research or producing reports and presentations


Skills and Competencies

The ideal incumbent for this appointment must have;


  • Excellent communication skills and ability to deliver messages both written and verbal in a confident and engaging manner.
  • Intermediate to advanced Excel, Word, PowerPoint skills.
  • Tact and discretion, for dealing with confidential information.
  • A confident and professional image, ensuring own attitude and approach has a positive impact on others.
  • Must be proactive, having the drive to succeed in a fast paced & demanding environment
  • Flexible, adaptable and personable approach, able to liaise with people at all levels.
  • Self-starter, resourceful and able to find solutions
  • Accurate and have high attention to detail
  • Highly organised, having the ability to multi-task and work to tight deadlines.
  • Excellent organisational and time management skills


Essential Qualifications

 The person appointed must have:

  • A Diploma in Secretarial Studies from a recognized and reputable institution, a degree in business studies would be an added advantage;
  • Sound computer skills
  • Previous PA experience at an Executive level.
  • Experience of working in a wider team as an Office Manager.
